Government & institutional procurement
HS-GP / Capability

HS-GP-01 / For federal, state, & research buyers

A turnkey AI workstation
a procurement officer can defend.

Thermal-validated AI workstations and GPU servers, paid for by the buyer configuration that matches the workload, shipped with a published per-unit benchmark and a written support contract. Pilot purchase, institutional PO, or subcontract — the page below describes each path in the buyer language procurement offices already use.

HS-GP-02 / SAM.gov verification path

Verify our entity status
directly at SAM.gov.

We do not print a UEI, a CAGE code, a NAICS line, or a PSC code on this page — those are claims an entity-record on SAM.gov is the authoritative source for, and we will not assert them here. The right place to confirm whether Helmstone Systems is currently registered, and under what classifications, is the live SAM.gov record.

As a starting point, search the SAM.gov entity database for “Helmstone Systems”. If a record exists, it will show the registration status, the active UEI, the CAGE, and the registered NAICS / PSC codes the buyer's contracting office needs to write us into a solicitation.

If a record does not yet exist or is in a non-active state, take that at face value too — the verification step is part of how a contracting officer treats every supplier, and we will not misrepresent our status to get ahead of it.

Opens sam.gov in a new tab. SAM.gov is the authoritative entity record for federal procurement; we direct buyers there rather than print a status here.

HS-GP-03 / Buyer archetypes

The buyers
this page is written for.

Five archetypes where a thermal-validated workstation with a published benchmark and a written service block maps to a real procurement desk. Each card points at the proof surface that backs the fit.

Federal research

Inference + fine-tune against a sustained LLM workload

Buyer-funded research labs running token-throughput-sensitive workloads on a long horizon. The 48-hour burn-in matches that horizon before the unit leaves the bench.

Defense

On-prem inference under constrained power and footprint

Programs that need a workstation they can hand to an integrator, with engineering sign-off on the thermal envelope and a written on-site service block.

Healthcare

Bedside / departmental model hosting under tight power

Clinical environments where shared facility GPUs are not an option, and a per-department unit is the deployment shape. The published per-unit benchmark is the proof an IT desk can defend.

University

PI-budget single-unit pilot, or lab-procurement multi-unit PO

Principal investigators that buy one workstation under a grant, and research labs that procure a fleet under an institutional PO. Both geometries are described on this page.

Scientific computing

Simulation sweeps and continuous inference fleets

Teams running overnight parameter sweeps or 24/7 inference behind a published thermal envelope. The rack-mounted RS tier and the supply-side lead-time notes are the relevant context.

HS-GP-04 / What we ship

The hardware
on the receiving dock.

Turnkey AI workstations and GPU servers — air-cooled racks and liquid-cooled clusters — thermal-validated against sustained inference and training, burned in for 48 hours per unit, and shipped with a published per-unit benchmark card that signs the envelope.

  • ·Workstation tier. Single-GPU deskside unit for LLM development and 8B–70B fine-tune.
  • ·Air-cooled rack. Dual-GPU rack with multi-day KV-cache-heavy research runs.
  • ·Liquid-cooled cluster. Multi-GPU cluster for frontier-class training sustained up to 72 hours.
  • ·Per-unit envelope. Peak junction °C and sustained wall-meter W from the 48-hour capture are printed on every per-unit benchmark card — not aggregated marketing numbers.

HS-GP-04b / What we deliver with it

Engineering & service that
back the per-unit envelope.

Pre-sales engineering

Every quote begins with a named engineer pinning the SKU to the workload, the batch shape, and the timeline — not a configurator round-trip.

Field / on-site service

On-site swap coverage scoped to priority metros, with a written service block — not a support-ticket queue. Service area and dispatch window are published up-front.

Prescriptive support tiers

A written support contract and SLA so the response windows and on-site footprint are pinned in writing — not inferred from a marketing brochure.

HS-GP-05 / Purchase geometries

Three ways
to buy from us.

Procurement desks ask which geometry a supplier supports. We support three — and we describe them in the buyer-side language below. Payment terms are truthful per geometry; lead-time brackets are aspirational and depend on supply, so the published lead-time notes are the live source.

Single unit, capital purchase

Small pilot purchase

A single workstation or rack, paid up front, shipped to one site. The right geometry for lab-budget pilots, a PI's first generalized-LLM unit, or a departmental procurement under a single line item.

Order geometry
Single-unit e-commerce checkout or wire transfer
Payment terms
Prepay (card or wire); no net terms on a single-unit pilot
Lead-time bracket
Pull-quoted per tier (see /tiers); typically weeks, not quarters
Responsible party
Buyer (end-user / PI / lab manager)
Proof surface
/tiers, /methodology, /spec-sheets

Institutional / federal procurement

Purchase order (PO)

An institutional or federal procurement submitted through a buyer-issued purchase order. Buyer issues the PO against the Helmstone quote; Helmstone accepts and books the order against the published SKU.

Order geometry
Buyer-issued PO against a Helmstone quote
Payment terms
Net-30 from invoice date; wire or check accepted
Shipping terms
EXW (buyer-arranged pickup) or DAP buyer site, per the quote
Lead-time bracket
Quoted per PO; supply noise drives the bracket — see /lead-times and /blog/blackwell-supply
Responsible party
Buyer (procurement office); Helmstone sales engineer on the back-channel

Flow-down under a prime contractor

Subcontracting

Subcontract work performed under an existing prime contractor's government contract. The buyer is the prime; Helmstone accepts flow-down terms through a sales-engineer-led conversation rather than a self-service form.

Order geometry
Purchase order or subcontract issued by the prime
Payment terms
Per the prime-subcontract flow-down; quoted per engagement
Lead-time bracket
Per subcontract scope; supply bracket inherited from the published lead-time note
Responsible party
Prime contractor; Helmstone sales engineer routes the conversation

HS-GP-07 / Talk to procurement engineering

Send the RFQ context.
We reply within one business day.

Subject line: “government-procurement RFQ”. Every buyer-side round-trip is signed by a sales engineer who has worked the same configuration. If your contracting office can’t route through the web form, the mailto side-channel below opens the same conversation on a desktop mail client.

To get a configuration in one round-trip:

  1. 01.Organization type. Federal agency, state agency, university, research lab, defense integrator, healthcare network.
  2. 02.Expected unit count. One pilot unit, a fleet of N, or a flow-down scope under a prime — the geometry above sets the lead-time bracket.
  3. 03.Target GPU class. Workstation (single 5090 / Pro 6000), rack (dual Pro 6000), cluster (4× B200), or rack (8× B200).
  4. 04.Deployment timeline. Targeted first-unit deliverable date and any go/no-go deadlines attached to a solicitation.
  5. 05.FOA / contract vehicle. If known — and only if the buyer's contracting office has already credentialed one.

RFQ intake

Talk to procurement engineering.
One business day, signed by a human. The form routes to the same address the mailto side-channel below opens.

Buyers who can't use the web form

A pre-addressed mailto opens the same conversation on a desktop mail client — subject line pre-filled, RFQ-brief scaffold pre-attached.

HS-GP-08 / Government buyer FAQ

What a government buyer
actually asks.

Each answer is honest about what we will and will not claim on this page, and links forward to a proof surface a contracting officer can read.

The current planning brackets are 8–10 weeks for W1, 13–16 weeks for W2, 18–22 weeks for W4, and 24–30 weeks for RS from PO. These are planning ranges, not delivery commitments: the GPU allocation, unit count, and configuration are pinned in the quote for each purchase order.

For a multi-unit or program purchase, a sales engineer confirms the range against the requested SKU and supply position before the buyer fixes a delivery date in the PO.
